The call is over — its recording and transcript are already in the meeting card

After a call the recording stays in the Zoom cloud and nobody opens it. To find what was discussed with a client two weeks ago, you have to recall the date, find the recording and rewatch an hour of video.

≈3 h a month

of moving recordings and transcripts by hand

Estimate: 40 calls a month × ~5 minutes to move and link

Before

~5 minutes per call

  1. Person

Find the recording and transcript in Zoom

  2. Person

Work out which meeting they belong to

  3. Person

    Paste the text into Notion

  4. Person

    Mark the participants

  5. Person

The summary — separately, in email

Nobody gets round to it — and a week later the conversation is reconstructed from memory.

After

No manual copying

  1. System

Zoom reports: recording and transcript are ready

  2. System

The system finds the meeting by its call link and time

  3. System

A timestamped transcript lands in the card

  4. System

Participants are set, the summary goes to a Google Doc

How it works

  1. 1

    Zoom reports the recording itself

When the recording and transcript are ready, Zoom sends a notification. The system checks it is genuine and fetches the files.

  2. 2

    The recording finds its meeting

Every meeting in Notion has a call link with a conference number. By that number and the time the system finds the right meeting — even when several share the same link.

  3. 3

A transcript that is easy to read

The text is split into turns, with a timestamp at every change of speaker. You see who said what and can jump to that moment in the recording.

  4. 4

    Summary and participants

Every half hour the system takes Zoom’s AI summary and saves it to a Google Doc. Participants are set as Notion people by email.

  5. 5

    Nothing gets lost

A repeated notification updates the card instead of creating a second one. If a transcript arrives broken, the system waits for the next attempt.

What it is made of

  • Zoom

Records the call and reports when the recording is ready.

  • n8n

The invisible helper that takes the recording and finds its meeting.

  • Notion

The meeting card: transcript, participants, recording link.

  • Google Drive

Where each call’s summary is kept.

A good fit if

  • Your team calls a lot in Zoom and records meetings.
  • You need to find quickly what was discussed and who said what.
  • You want AI to analyse the conversations later — for that they have to be collected.

Common questions

What if the meeting is not in Notion?

The call card is still created, but without a link to the meeting. That is why the chain puts the meeting generator and calendar sync before this step: then the meeting page almost always exists.

Do I need paid Zoom recording?

You need cloud recording and transcription — they come with paid Zoom plans.
