Everyone sees their meetings: participants fill in on their own, by email

In a distributed team every call has a different cast: staff, contractors, clients. Nobody is going to mark in Notion who attended which meeting. Without that you cannot show someone their meetings or tell who was asked to do what.

How it works

    An “email → person” list

    The system collects the emails of all Notion workspace members and of everyone in “owner” or “assignee” fields of other databases. That is how guests are found too — contractors who are not workspace members.

    Matching on every meeting

    Emails from the Google Calendar invitation and from Zoom’s participant list become Notion people. Anyone who cannot be matched is kept in a separate list of external participants.

    A personal dashboard

    Because a participant is a real Notion person, their dashboard can show “my meetings”: everything they attended or will attend, without anyone picking them.

    Next step: invitations

    If participants are set in advance in the recurring-meetings table, they can receive Google Calendar invitations. This is not built at the client yet — it is the next step.

A good fit if

  • You have many meetings with a changing cast — staff, contractors, guests.
  • You want everyone to see their meetings, and the manager to see who attended what.
  • People use one work email across services.

What if someone joins Zoom with a different email?

Then they land among external participants. The rule is one email across all services.

Can this send invitations too?

That is the natural next step, not built at the client yet: participants are set in the recurring-meetings table and invitations go to their Google Calendar. Today participants flow into Notion from the calendar and Zoom.
