The client pays — and the project with its tasks is already open, no paperwork

The client sits in the CRM, the invoice in accounting, the tasks in a tracker, and memory holds it all together. Whether the client has paid and work can start has to be checked, and income is counted separately later.

≈5 h a month

of paperwork for new clients

Estimate: 20 new clients a month × ~15 minutes moving data between the CRM, invoices and tasks

  • 1 click

from a paid invoice to a project with tasks

This is how it works at the law firm reboot legal

Before

~15 minutes per client

  1. Person

Log the enquiry in the CRM

  2. Person

Prepare an offer as a separate document

  3. Person

Client agrees — issue an invoice somewhere else

  4. Person

Check whether the payment has arrived

  5. Person

Create the project and tasks by hand, add the income to a spreadsheet

While someone checks whether it is paid, work stands still — and income never matches the projects.

After

No manual copying

  1. Person

Log the enquiry and send an offer from the client card

  2. Person1 click

Client accepts the terms — press a button

  3. System

The invoice is created from the offer’s details

  4. Person1 click

    Mark the invoice as paid

  5. System

A project with standard tasks opens, the income goes to the finance dashboard

How it works

  1. 1

    Client pipeline

Every enquiry is a client card with a status, from first contact to contract or decline. The history of status changes is kept, and client check marks do not get lost.

  2. 2

    The offer

An offer is created from the client card: the fee and the date it is valid until. It is linked to the client, so there is no email to dig up.

  3. 3

    Acceptance becomes an invoice

The client accepts the terms, you press a button, and the invoice is created from the offer’s details. The payment method is recorded on the invoice.

  4. 4

    Payment starts the work

Once the invoice is marked as paid, a project with standard tasks opens on its own. Work can start straight away, with nothing to check.

  5. 5

    Money next to the work

Paid invoices flow into finance: income and expenses, budget by category and a monthly dashboard. You can see what each client brought in.

What it is made of

  • Notion

Where the whole system lives: clients, offers, invoices, projects and finance. Nothing else to install.

  • Client pipeline

Statuses from enquiry to contract, a change history and check marks.

  • Buttons

Move the client along the path: offer → invoice → project.

  • Finance dashboard

Income and expenses by month and budget by category — right next to the projects.

A good fit if

  • You work with offers and invoices: lawyers, consultants, agencies.
  • Your clients, invoices and tasks live in different places.
  • You want work to start right after payment, not after a round of emails.

Common questions

Can online payment be connected?

Yes: the payment method is recorded on the invoice, and receiving payments can be automated with n8n.
