Notion systems: from ready-made nooka.pro templates to an operating system used by 100+ people

Notion in a team usually grows on its own: pages go stale, databases duplicate each other, and nobody knows where the truth is. Since 2023 I have designed Notion workspaces around companies’ real processes and packaged the best solutions into templates on nooka.pro. The largest system is an education company’s operations: 15+ linked databases, three role levels and 100+ people with access.

A ready-made template fits a company’s processes only roughly, so the team either bends to it or abandons it.
Leadership, coordinator and staff tasks sit in one pile: everyone sees what they do not need and misses what they do.
Everything Notion cannot do on its own — payments, questionnaires, access — is done by hand next to it.

What was built

Custom systems

A process audit first, then architecture: linked databases for clients, projects, tasks and finance, separate views for each role and dashboards for leadership. Where Notion runs into manual work, n8n automations take over.

An education company’s operations

Three task levels, 15+ databases, a 400–700-task project in one click, formula-driven deadlines and a move to a plan with 100+ guest seats. Details in the automation case.

Questions

How is a custom system different from a template?

A template encodes someone else’s processes that you have to adapt to. A custom system starts with an audit of yours: databases, roles and dashboards are designed around how the team actually works.

Can Notion handle a large team?

What if Notion cannot do what we need?
