Role-based access: assign a role and the person sees what they need; the project ends and access is gone
Granting access to a new person takes 15–30 minutes of manual clicks, and access is often left in place after a project ends. This solution grants access to the right pages by assigned role and revokes it automatically at the end. At the client, a team of 100+ people works this way.

This is a calculation, not a promise: plug in your own volumes and the figure changes.
Before
- Every new person gets access by hand, page after page.
- Nobody revokes access after a project, so former members keep seeing the data.
- Notion’s built-in permissions cannot grant by role or revoke by date.
What was built
Role → access
Assigning a role instantly opens the right pages to the person. Universal roles see everything.
Automatic revocation
When a project ends, access is removed automatically. Permanent roles are kept.
Nightly reconciliation
Instant grants are backed by a nightly check: if an event was lost, access is in order by morning anyway.
Courses with staged lessons
Lessons open on a schedule from the start date — like an LMS, but inside Notion.

Questions
Why are Notion’s built-in permissions not enough?
Notion grants access to a specific person but cannot do it by role or revoke it by date. That is what the automation adds.
What if the automation fails?
A reconciliation runs every night and brings access back in line with roles.
Can we run an online course this way?
Yes: lessons open day by day from the start, and access closes at the end. No separate LMS is needed.
