A project in one click: 700 tasks with dates and owners in 15 minutes

A repeating project — a launch, an event, an onboarding — means hundreds of tasks. Entering 700 tasks by hand with relative dates and owners takes 12–23 hours at 1–2 minutes per task. A Notion template does it with one button: tasks are created, assigned by role, and deadlines are computed from the start date.

One click creates a project with every task — for any number of team levels.

Assignment by role

A task is tied to a role, and the role to a person. When the person changes, tasks move to the new one without manual re-tagging.

Relative deadlines

A deadline is “start date minus N days”. Move the date and every deadline recalculates by itself.

Process analytics

Tasks are marked as templated or added by hand, which shows where the real process drifts from the template.

Does this need n8n?

No, it is built entirely on Notion’s own features: templates, buttons, formulas and relations.

What happens if the start date moves?

Deadlines are computed from the start date and recalculate automatically; nothing needs moving by hand.

Where does “12–23 hours” come from?

It is a calculation: 700 tasks at 1–2 minutes each for the title, the date relative to the start and the owner. At the client, preparing a project before this took even longer, because entry came with cross-checking old lists.
